Every event at Gather is a partnership. We handle the space, the reset, and the venue-side details. You handle your guests, your program, and anything you brought in that you want to take home. This page spells out where the line is drawn so you can plan with confidence and avoid the end-of-night scramble.
The space and the reset
Every rental at Gather includes the indoor space, outdoor patio, tables, chairs, in-house Sonos speakers (Spotify-based background music), and an on-site venue manager for the duration of your rental.
You handle
Bring in personal items, gifts, and any decor or vendor items you want to keep.
Gather handles
Set up tables and chairs before your access time begins. Table linens and any Gather-provided services (florals, table settings, etc.) are set up and steamed in advance if you have booked those add-ons.
You handle
At the end of your rental, pack up anything you brought in that you want to take home: reusable decor, gifts, personal items.
Gather handles
Handle trash, garbage, and disposal of one-use items (signage, single-use props, table scraps). Reset tables, chairs, and floor to their standard configuration.
Food and drink at the end of the night
The $250 cleaning and dumping fee applies to any event with food or beverage. Here is what it covers and what stays with you.

Bring your own containers if you want to take home leftovers, and pack them yourself before your rental ends.
Gather handles
Discard or donate any food left behind after your rental ends. Bus tables and remove food waste as part of the $250 cleaning fee.
How the rental window works
All time reserved at Gather is billed, including setup and breakdown. The building (including the patio) must be fully cleared by your rental end time.
You handle
Reserve enough time for both your event and your setup or breakdown. If your party runs until 9pm, book the space until at least 9:30pm so you have time to gather your things and go.
Gather handles
Confirm your rental window when you book so nothing overlaps with the next event. For simple breakdowns, we recommend 30 minutes minimum. Vendor-heavy decor teardowns often need 1 to 2 hours.
You handle
If you have outside decor vendors, coordinate their arrival and teardown time inside your rental window.

If Gather set up your decor, we break it down at no extra charge inside your rental window. Client and outside-vendor teardown time is billed at the standard hourly rate.
Included coordination vs. full-service planning
Every rental includes basic day-of coordination from your on-site venue manager. That is different from full-service planning, which is a paid add-on.
You handle
For basic bookings: build your own timeline, communicate with your own vendors, and drive your own event flow. Your Gather venue manager follows the timeline you provide.
Gather handles
Basic coordination is your venue manager acting as the personification of Gather: opening doors, following your timeline, ensuring a safe and fun time is had by all, and locking up at the end of the night.
You handle
Add full-service planning ($1,500) if you want us to build the timeline, coordinate vendors, and manage the full event experience end to end.

A real example: a 3-hour DIY baby shower
When you handle your own decor and setup, a 3-hour event is really a 4.5-hour rental. Here is how a typical DIY baby shower looks from access to lock-up. If Gather is handling your decor and setup, you only need to add roughly 30 minutes for breakdown at the end.
